Phase V Automotive Proprietary Limited and its associated operating dealership entities (“Phase V Automotive”, “Phase V”, “we”, “us”, or “our”) are committed to promoting transparency, accountability, and responsible information governance in accordance with the Promotion of Access to Information Act, 2 of 2000 (“PAIA”), as amended, and the Protection of Personal Information Act, 4 of 2013 (“POPIA”).

This Manual has been prepared in accordance with Section 51 of PAIA and provides guidance regarding the categories of records held by Phase V Automotive, the manner in which requests for access to records may be submitted, and the rights available to data subjects under Applicable Law.

By making this Manual publicly available, Phase V Automotive seeks to facilitate lawful access to information while protecting confidential, commercially sensitive, and personal information in accordance with Applicable Law.

1. Introduction

Phase V Automotive is a privately owned multi-brand automotive retail group operating dealerships, manufacturer-approved Accident Repair Centres, and associated automotive businesses throughout South Africa.

The business supports customers throughout the ownership journey, including:

  • manufacturer-approved Accident Repair Centres

  • future subsidiaries
  • affiliated operating entities
  • and associated automotive businesses operated by or associated with Phase V Automotive

2. Definitions

For purposes of this Manual:

2.1 “Applicable Law”

Means any statute, law, regulation, code, directive, judgment, ordinance, or legal requirement applicable within South Africa.

2.2 “Information Officer”

Means the Information Officer appointed in terms of POPIA and PAIA.

2.3 “Personal Information”

Shall have the meaning assigned to it under POPIA.

2.4 “Requester”

Means any person requesting access to records held by Phase V Automotive.

2.5 “Record”

Means any recorded information regardless of form or medium including physical and electronic records.

2.6 “Group Entity”

Means any dealership, subsidiary, division, affiliate, repair centre, associated entity, or operating business associated with Phase V Automotive.

3. Information Officer

The Information Officer of Phase V Automotive is responsible for:

  • ensuring compliance with PAIA
  • facilitating access to records
  • managing POPIA-related requests
  • maintaining this Manual
  • processing access requests
  • responding to data subject requests
  • promoting responsible information governance

9. Processing of Personal Information in Terms of POPIA

Phase V Automotive processes Personal Information in accordance with POPIA. Categories of Personal Information processed may include:

10. Request Procedure

A requester seeking access to records not publicly available may submit a request to the Information Officer. Requests should contain sufficient information to enable identification of:

  • the requester
  • the records requested
  • the reason access is sought where required
  • preferred communication method

Proof of identity may be required. Access requests may be subject to:

  • prescribed fees
  • verification procedures
  • confidentiality obligations
  • statutory exemptions
  • legitimate commercial interests
  • protection of Personal Information
  • legal privilege

11. Grounds for Refusal

Access to records may be refused where disclosure would:

  • constitute an unreasonable invasion of privacy
  • disclose commercially sensitive information
  • prejudice legal proceedings
  • compromise confidential information
  • reveal trade secrets
  • prejudice security measures
  • breach contractual obligations
  • conflict with Applicable Law

Phase V Automotive reserves all rights afforded to private bodies under PAIA.

12. Remedies Available

Where a requester believes a request has been improperly refused, they may:

  • engage with the Information Officer
  • submit a complaint to the Information Regulator
  • pursue any remedy available under Applicable Law

This Manual may be updated from time to time to:

Technical Apprentice

Key Responsibilities

  • Assist technicians with vehicle servicing, maintenance and repairs.
  • Learn manufacturer-approved diagnostic and repair procedures.
  • Perform routine maintenance under supervision.
  • Maintain workshop equipment and ensure a clean, safe working environment.
  • Follow workshop processes, health and safety standards, and manufacturer requirements.
  • Complete technical training and apprenticeship assessments.
  • Develop product knowledge and practical workshop skills through ongoing learning.

Requirements

  • Grade 12 (Matric), with Mathematics and Physical Science preferred.
  • A passion for the automotive industry and vehicle technology.
  • Strong willingness to learn and develop technical skills.
  • Good problem-solving ability and attention to detail.
  • Ability to work effectively as part of a team.
  • Valid driver’s licence or willingness to obtain one.
  • Previous mechanical experience or technical studies will be advantageous.

Accountant

Location: Finance

Overview

The Accountant supports the financial integrity of the business through accurate reporting, sound financial controls and effective commercial support. This role contributes to informed decision-making across the Phase V Automotive Group.

Key Responsibilities

  • Prepare monthly financial reports and reconciliations.
  • Manage general ledger transactions.
  • Support budgeting and forecasting activities.
  • Assist with month-end and year-end reporting.
  • Ensure compliance with financial policies and statutory requirements.
  • Work closely with operational teams to support business performance.

Requirements

  • Relevant Accounting qualification.
  • Previous accounting or financial reporting experience.
  • Strong analytical and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Advanced Microsoft Excel skills and accounting software experience.

HR Administrator

Location: Gauteng

Overview

The HR Administrator plays an important role in supporting our people and maintaining the smooth day-to-day operation of the dealership. From onboarding new employees and payroll administration to employee relations and HR compliance, this role helps ensure every team member is supported throughout their journey at Phase V Automotive.

Working closely with management, you’ll contribute to a professional, compliant and people-focused workplace that reflects the standards of our business.

Key Responsibilities

  • Manage payroll administration, leave records and time & attendance processes.
  • Coordinate employee onboarding, contracts and offboarding documentation.
  • Support employee relations, disciplinary processes and HR administration.

Parts Sales Executive

Location: Gauteng

Overview

The Parts Sales Executive plays an important role in supporting both our workshop and retail customers. This position requires strong product knowledge, attention to detail and a commitment to delivering efficient, accurate service.

Key Responsibilities

  • Assist workshop technicians and retail customers with parts enquiries.
  • Identify and source genuine manufacturer parts.
  • Prepare quotations and process customer orders.
  • Maintain stock accuracy and inventory records.
  • Build relationships with trade and retail customers.
  • Support the efficient operation of the Parts Department.
